Who We Are Looking For
  • Strong knowledge of administration, asset management, and vendor coordination.
  • Experience handling petty cash, invoices, and payment coordination.
  • Familiarity with asset management tools (Asset Tiger or ServiceNow preferred).
  • High attention to detail, documentation discipline, and follow-through mindset.
  • Ability to manage multiple priorities in a fast-paced environment.
  • Strong stakeholder management and communication skills.
What You Bring
Administrative & Financial Operations
•        Manage petty cash handling for the Bangalore office, ensuring accurate records, approvals, and audits.
•        Coordinate and process vendor payments in line with agreed SLAs and internal finance controls.
•        Ensure timely payments and documentation for key vendors including Housekeeping Services, Security Services and Asset Insurance.
Asset & IT Infrastructure Management
•        Handle laptop/MacBook, Samsung Tabs & iPads procurement for new joiners in coordination with IT and Operations.
•        Manage laptop/MacBook replacements after the defined lifecycle (5 years).
•        Oversee the employee loyalty benefit program, ensuring replacement of used laptops with new devices after successful completion of the 5-year loyalty period.
•        Maintain and update asset records using Asset Tiger or ServiceNow, including regular audits and maintenance follow-ups.
Facilities, Safety & Compliance
•        Coordinate fire extinguisher maintenance and refill activities, ensuring compliance with safety standards and audits.
•        Liaise with facility vendors for preventive and corrective maintenance activities.
Events, Logistics & Travel Support
•        Provide logistics and accommodation support for internal and external events, including InCW events.
•        Coordinate with vendors and internal teams to ensure smooth execution of event-related administrative requirements.
Corporate Support & Vendor Management
•        Handle business card creation and management for employees and leadership.
•        Manage end-to-end vendor management, including onboarding, rate negotiations, performance reviews, renewals, and compliance documentation.
•        Act as a single point of contact for administrative vendors, ensuring service quality and cost efficiency.
•        Support the administration of internal systems, including RMS (Management System).
